Executive Assistant

Securitas Indonesia is looking for a mature and experienced EXECUTIVE ASSISTANT to a senior director. 

Description of position:

  • Assist director in day-to-day work
  • Handle all official correspondence for director IN ENGLISH (letters, emails, minutes) 
  • Keep track of and follow up on tasks assigned to executives
  • Maintain schedules and itineraries
  • Manage office affairs
  • Organize documents for directors review
  • Other executive support

Essential qualities are:

  • University graduate with minimum 5 years experience
  • Ability to take initiative and work independently
  • Impeccable verbal and written communication skills
  • Excellent organizational skills
  • Fluent in English
  • Well versed in MS Office software

Duties will include:

Performs variety of administrative or executive support tasks that are highly confidential and sensitive

Coordinates office management activities for the Executive

Researches, compliles, assimilates and prepares confidential and sensitive documents, and briefs the Executive regarding content

Reads and screens incoming correspondence and reports; makes preliminary assessment of the importance of materials and organizes documents;
handles some matters personally and forwards appropriate materials to the Executive and staff, as applicable

Prioritizes matters and alerts the administrator or executive accordingly, makes referrals to appropriate staff or provides requested information

Composes letters or memoranda in response to enquiries

Transmits directives, instructions and assignments and follows up on the status of assignments.

Produces a variety of diocuments, charts and graphs in final form

Updates Executive on status of issues before schedule meetings

Prepares agenda, collects materials for meetings, speeches and conferences; takes minutes and records proceedings

Plans and coordinates arrangements for conferences and meetings

Reviews, proofreads, edits documents prepared for the Executive's signature

Takes and transcribes dictation from the Executive

Coordinates and facilitatesw the Executive's calendar to arrange appointments, meetings and conferences

Assists with the establishments, revisions and maintenance of office procedures and policies.

Makes travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records
